Responsibilities

What you'll do

Our PMO team looks at processes and logistics as a design challenge. We are constantly thinking of improving ways of working, all to keep the design community focused, creative, and in sync with its values. As the Project Management Specialist, you amplify high-quality design, methods, processes and culture. You develop and implement the systems and processes around our design teams with the goal of making our creative teams successful.

  • Work directly with a multidisciplinary team of designers, researchers, and developers.
  • Manage weekly project operational review process: schedule, organize and facilitate weekly portfolio evaluations, moving teams through the start of a project and helping leadership evaluate capacity planning implications.
  • Build great relationships with project leads and senior leadership, communicating about project status, risks, and resourcing.
  • Work across teams, understanding the necessary workflow to ensure excellent outcome delivery.
  • Participate in scoping new project work opportunities, determining required design talent and budget to accomplish project objectives and evaluating strategic fit.
  • Help define timelines, facilitate progress, manage adaptable budgets, and assure all projects meet their deadlines with success.
  • Owner of portfolio management and capacity forecasting operations and associated tools.
  • Steward organizational data quality to inform data-driven decision-making.
  • Develop, share, and provide operational methodologies, digital tools, and data management best practices across the labs.
  • Business owner of project-specific and project-management digital tools and platforms.
  • Assist teams with production-specific needs such as sourcing vendor partners and contractors, managing printing, assisting photoshoot planning, and other production projects.
  • Solve process problems proactively and creatively, using data-driven insights and operational metrics.
  • Act as the point of contact when human-centered design input is needed for other departments or corporate activities i.e. workshops and tours.
  • Provide regular portfolio and capacity metrics to executive leadership.
  • Qualifications

    You'll have

  • Bachelor's degree or a combination of education and equivalent experience
  • 3+ years' experience in an operation, office management, or project producer/program management role.
  • 3+ years of experience supporting large scale client meetings.
  • 1+ years of experience with vendor management.
  • Even better, you may have

  • Deep understanding of human-centered design methods and mindsets.
  • Excellent project management skills: efficient, organized and collaborative; able to keep track of multiple streams of work and accomplish work through others.
  • Design acumen: ability to understand how creative professionals work, their needs and mindset, and also to think creatively with high foresight.
  • Experience of event management.
  • Strong interpersonal skills as well as cross-functional team leadership and strategic planning.
